1. Introduction

These Terms and Conditions govern your use of our services and booking arrangements with Equator Expeditions Group (“Company”, “we”, “our”). By making a booking with us, you agree to these terms.

2. Definitions

“Client” means the person making the booking and all persons named in the booking. “Trip” means the tour, expedition or travel service booked. “Contract” means the agreement between the Company and the Client.

3. Booking and Confirmation

All bookings must be made in writing. A booking is confirmed only upon receipt of required deposit or full payment and our written confirmation.

4. Payment

A non‑refundable deposit is due on booking. The balance must be paid by the date specified in your confirmation. Failure to pay by the due date may result in cancellation.

5. Price and Inclusions

Trip prices include services listed in itinerary. Prices do not include items such as airfare, visas, travel insurance, personal expenses, or optional activities.

6. Cancellation and Refunds

If you cancel your booking, cancellation fees will apply as follows: (a) cancellations received X days before departure will incur a Y% fee; (b) cancellations within Z days of departure will incur full payment forfeiture.

7. Changes by the Company

The Company reserves the right to amend itineraries, trip services, or prices due to unforeseen circumstances such as weather, government actions, or logistical issues.

8. Travel Insurance

Clients are required to obtain comprehensive travel insurance that covers trip cancellation, medical expenses, evacuation, and personal liability.

9. Risks and Responsibility

Clients acknowledge that adventure travel involves risks. The Company is not liable for injury, loss, damage, or delays arising from services provided by third parties beyond our control.

10. Client Obligations

Clients must carry valid documentation (passport, visas, permits), comply with laws at destinations, and follow instructions of guides and staff.

11. Privacy

Personal information will be used to process bookings and communications, and may be shared with service providers as necessary.

12. Governing Law

These Terms and Conditions shall be governed by the laws of the country of operation.
